1. Order Processing Times

All orders are made to order and processed in the sequence received. Typical processing time is 2–7 business days, varying by:

  • Order volume, seasonality, or holidays;
  • Availability of green coffee, teas, flavorings, packaging, or other inputs;
  • Carrier and fulfillment network capacity.

During periods of high demand or limited production capacity, processing times may be extended. Orders are fulfilled on a first-come, first-served basis to preserve quality and freshness.

2. Shipping Methods & Carriers

We primarily ship via USPS, UPS, FedEx, and may use trusted fulfillment partners for select merchandise or print-on-demand (POD) products. Transit times depend on destination, carrier, and network conditions.

  • Domestic (U.S.): typically 1–5 business days after shipment.
  • POD items: may be produced and shipped separately by production partners; timelines can differ and appear at checkout when available.

Delivery dates are estimates only and are not guaranteed.

3. Tracking & Notifications

When your order ships, you’ll receive a confirmation email with a tracking number. Tracking activity may take 24–48 hours to populate after carrier pickup. If tracking has not updated after several business days, contact us and we’ll help review.

4. Shipping Rates & Free Shipping

Rates are calculated at checkout by weight, dimensions, and destination. We currently offer free U.S. shipping on orders of $75+ (after discounts, before tax). Orders that include both small-batch items and POD items may arrive in multiple packages at no extra charge.

4.1 Local Delivery (Medina, Ohio Only)

We offer local delivery within the city of Medina, Ohio. Eligible addresses will see this option at checkout.

  • Local deliveries are typically completed within 1–3 business days after roasting/production, subject to scheduling.
  • Provide accurate delivery information and a safe, accessible drop-off location.
  • If delivery cannot be completed (e.g., incorrect address, unsafe conditions, or no secure drop-off), we will reschedule or may require pickup at our discretion.

All other terms of this Shipping Policy apply equally to local deliveries.

5. Address Accuracy

Please verify the shipping address before checkout. We cannot reroute packages after shipment. If an incorrect or incomplete address is provided, replacement or reship costs are the customer’s responsibility.

6. Delivery Issues & Risk of Loss

Risk of loss transfers to you once the carrier scans your package. We are not responsible for:

  • Carrier delays, misdeliveries, or service interruptions;
  • Weather or other events outside our control;
  • Incorrect or incomplete addresses entered at checkout;
  • Theft or loss after the carrier marks the package delivered.

If your order arrives damaged or incorrect, email orders@cool.coffee within seven (7) days of delivery with your order number and clear photos of the item and packaging for review.

7. All Sales Final (Consumables & POD)

For health, safety, quality control, and customization reasons, all sales are final for all product types, including coffee, tea, consumables, apparel, mugs, and other POD merchandise. We do not accept returns or exchanges once an order has been processed or shipped.

Buyer’s Remorse & Subjective Preferences: Orders cannot be canceled, returned, or refunded due to buyer’s remorse, change of preference, taste differences, or perceived color/appearance variations.

Expected Variations: Small-batch coffee and tea may naturally vary in roast level, color, and aroma by batch. POD items may show minor tone/alignment/finish variations due to print processes. These are not defects.

Defect/Incorrect Item Review: Where verified, we may offer a replacement or store credit/reward points (no cash value) for future purchases, at our discretion.

8. Preorders, Backorders & Split Shipments

If a product/input is temporarily unavailable, we may notify you and either delay shipment until all items are ready or split the order to maintain freshness and accuracy.

9. Delays & Force Majeure

We are not liable for delays or failures caused by events beyond our control (weather, natural disasters, pandemics, cyberattacks, carrier disruptions, supply-chain/manufacturing delays, labor shortages, acts of government, transportation failures). We will make reasonable efforts to keep you informed and ship as soon as possible.

10. Shipping Regions

We currently ship within the United States only.

  • Coffee & Tea (consumables): shipped to Ohio addresses only, consistent with Ohio cottage food rules and labeling requirements.
  • Merchandise / POD items: Non-consumables (e.g., apparel, mugs, accessories) may ship to the continental U.S. (and, where available, AK/HI) subject to carrier service. We are gradually rolling out nationwide shipping for these items, so availability may vary and may not coincide with the purchase of other products.

We’re evaluating additional permits/licensing to expand consumable shipping nationwide. If our shipping regions change, this page will be updated.

11. Dispute Resolution (Shipping)

If you initiate a payment dispute or chargeback without first contacting us to address a delivery/damage concern, you agree that we may provide order records, timestamps, tracking scans, and communications to the payment provider as evidence of fulfillment.
