1. Overview
This policy explains cancellations, changes, and payment authorizations for subscriptions, pre-orders, and other recurring or future-dated transactions. Read together with our Terms of Service, Return & Refund Policy, and Shipping Policy.
2. Subscriptions (Cool Coffee & Tea Club™)
- By subscribing, you authorize repeat orders at the frequency/plan you choose.
- Your payment method is stored securely and auto-charged for each renewal unless canceled before the billing date.
- You may pause/modify/cancel any time before renewal is processed.
- Orders that have entered roasting, blending, production, or shipment cannot be canceled or refunded.
- We are not responsible for charges if you forget or are unable to modify/cancel on time.
- Refunds for subscription orders are not permitted once fulfillment begins, except for verified defect, damage, or incorrect item under our Return & Refund Policy. Remedies may include replacement or store credit/reward points (no cash value) at our discretion.
Manage: Use your account portal or the “Manage Subscription” link in order/renewal emails. Cancellations affect future renewals and don’t retroactively refund prior charges.
3. Pre-Orders
- We may collect full/partial payment at checkout or store an authorization for later capture.
- We will fulfill and charge when the item becomes available.
- You may cancel if production/fulfillment has not begun. Once production begins, the order becomes final.
- If fulfillment is not reasonably possible, we will contact you with options (refund, substitution, or continued waitlist).
- Because coffee/tea are made to order, consumable pre-orders follow our “All Sales Final” policy once roasting/blending begins.
4. Try-Before-You-Buy
We do not offer try-before-you-buy programs. All purchases are final once processed or shipped, consistent with our Return & Refund Policy.
5. Order Changes & Cancellations
- Once an order enters production or has shipped, it cannot be modified or canceled.
- If you made an error (e.g., address), email orders@cool.coffee immediately. We’ll assist if fulfillment hasn’t started.
- Refunds, if approved, may be issued as store credit or reward points (no cash value) at our discretion.
- We may cancel orders at our discretion due to suspected fraud, unauthorized resale, pricing errors, or supply constraints; if so, you will be notified and refunded as applicable.
6. Payment Authorizations
By purchasing, you authorize us and our payment partners to securely store/process your payment information for orders, renewals, and pre-orders, under PCI-DSS standards.
7. Force Majeure & Delays
We are not liable for delays/failures caused by events beyond our reasonable control (supply shortages, weather, carrier issues, labor disruptions, or governmental actions). We’ll make reasonable efforts to keep you informed and complete fulfillment as soon as possible.
